Switching PIMS Without Losing Your Historical Reporting Data
Most PIMS migration guides focus on the operational risk — will appointments transfer correctly, will client records be intact, will the team be trained before go-live. All legitimate concerns. The risk that gets far less attention is what happens to your historical reporting: the ability to look back and see how the practice trended over the two or three years before the switch.
Why this specific risk gets missed
A PIMS migration typically transfers active client records, scheduling data, and enough transaction history to keep billing functional — but full historical transaction-level detail, especially anything older than a year or two, often doesn't make the jump cleanly, or transfers in a format the new system can't report on the same way the old one could. The result: a practice that had three years of trend data suddenly has reporting continuity broken at the migration date, with "before" and "after" that can't be compared apples-to-apples.
What to do before you migrate
Export full historical detail from the old system before migration begins — not just a summary report, but transaction-level data: date, provider, client, procedure, and amount, for at least the trailing 24 months. Store it separately from the new system, in a plain format like CSV, specifically so you retain the ability to calculate trailing benchmarks (retention rate, revenue per doctor, seasonal patterns) that span the migration date even after the old system is decommissioned.
What to verify immediately after go-live
Before fully retiring the old system's access, confirm that key benchmarks — client retention rate, active client count, average transaction value — calculate to roughly the same figures in the new system as they did in the old one for an overlapping period. A meaningful mismatch usually means a data-mapping issue during migration, and it's far easier to catch and fix in the first two weeks than to discover a year later when trying to explain an unexplained metric jump.
