A Practical Framework for Lapsed Client Recovery in Veterinary Practices

Every practice management system can produce a list of patients who haven't been in for a while. Almost none of them tell you which of those lapsed clients are worth calling first. Rank by lifetime value, not recency

The most useful signal isn't how long it's been since the last visit — it's what that client was worth while they were active. A client who spent consistently across annual exams, dental cleanings, and preventive care for three years and then went quiet is a fundamentally different recovery opportunity than a client who came in once for a single urgent visit and never returned. Sorting the lapsed list by historical spend, not just days-since-last-visit, changes who gets called first.

What outreach actually works

Generic "we miss you" messaging performs worse than outreach that references something specific — the patient's name, the type of care that's likely overdue (an annual exam, a dental, a vaccine booster), and a concrete next step. This is also where speed matters: outreach sent within the first few weeks of a patient becoming overdue converts meaningfully better than outreach sent months later, once the client has settled into a new routine that doesn't include your clinic. The same specificity problem shows up in routine appointment and vaccine reminders — generic messaging underperforms there too.

Make it a weekly habit, not a project
