Doctor Utilization Rate: What Counts as "Full" at a Veterinary Practice

By Diego Pittaluga, Founder / Product Lead at VetPulse

A schedule that looks packed on the calendar and a schedule that's actually well utilized are two different things — a day full of double-booked short visits can look busier than a day of well-spaced, fully-booked appointment slots while using capacity less efficiently.

The actual formula

Utilization is completed appointments divided by available slots over the same period — not appointments divided by hours worked, and not a subjective sense of how busy the day felt. A slot that goes unbooked counts against the rate the same as a canceled one.

Why "full" is more specific than it sounds

A practice can feel constantly busy while running well below a healthy utilization rate, if a meaningful share of available slots are going unbooked in the gaps between the appointments that do get filled. The feeling of busy and the math of utilized are correlated, not identical.

Why it's worth tracking per doctor, not just clinic-wide

A clinic-wide utilization number can hide a real split between providers — one doctor running close to capacity while another has meaningfully more open slots — a gap that a single blended number won't surface on its own. See appointment utilization software for how clinic-wide utilization gaps get flagged, and the utilization calculator to check your own number.

A related but distinct number

This is a different metric from exam room utilization (a facilities capacity question) and from scheduling-level utilization gaps — worth checking both if this one raises questions.
