How utilization gap detection works

Utilization is completed appointments divided by available slots for the period. A finding fires once that rate falls below 60% of available capacity— as long as there were at least 10 available slots and at least 5 resolved appointment outcomes (completed, no-show, or cancelled) to evaluate, guards that keep a quiet holiday week or a mid-CSV-upload window (where outcome data hasn't finished loading) from generating a false finding.

Severity escalates as utilization drops further: high below 40% utilization, critical below 25%.

The estimated dollar impact of the gap is unused slots multiplied by revenue per appointment — your clinic's own average transaction value when there's enough billing history behind it, falling back to an industry benchmark figure otherwise.

What this page does not claim

This page covers one specific, code-verified detector — clinic-wide appointment slot utilization. It does not identify which individual vet is under-utilized; per-provider comparisons like an ATV gap between vets are a separate detector — see per-vet performance for that.

Common questions

How is utilization calculated?
Completed appointments divided by available appointment slots for the period. A finding fires when that rate falls below 60%, as long as there were at least 10 available slots and at least 5 resolved appointment outcomes (completed, no-show, or cancelled) to evaluate — guards that prevent false positives during a quiet holiday week or a mid-CSV-upload window where outcome data hasn't finished loading yet.
How is the severity level decided?
Utilization below 60% is flagged; below 40% it escalates to high severity; below 25% it escalates to critical.
How is the dollar impact of unfilled slots estimated?
Unused slots multiplied by revenue per appointment — using your clinic's own average transaction value when there's enough billing history, and an industry benchmark figure otherwise.
Does this also flag which vet is under-utilized, specifically?
This detector reports clinic-wide slot utilization for the period. Per-vet comparisons — like an ATV gap between providers — are a separate, related detector; see per-vet performance for that.
